Privacy Notice
This notice explains how Ugnaian Systems Inc. ("Ugnaian", "we", "us") collects, uses, stores, and protects personal data in connection with the Botiqa OS beta program and this website (ugnaian.com), in compliance with the Data Privacy Act of 2012 (RA 10173) and its Implementing Rules and Regulations.
1. Who is the Personal Information Controller?
Ugnaian Systems Inc. is the Personal Information Controller for all data processed through this site and the Botiqa OS beta program. For privacy-related concerns, contact us at privacy@ugnaian.com.
2. What personal data we collect
When you apply for the Botiqa OS beta program by sending an application email, we receive:
- Your name and email address
- The name and location of your pharmacy
- Any other information you voluntarily include in your message
We do not operate tracking pixels, behavioral analytics, or third-party advertising on this site. Standard server access logs (IP address, browser type, page requested, timestamp) may be retained by our hosting infrastructure for security and operational purposes.
3. Purpose and legal basis for processing
We process your personal data for the following purposes:
- Beta program administration — to evaluate applications, communicate with applicants, and onboard accepted pharmacies. Legal basis: consent (your voluntary application) and the performance of a contract.
- Communications — to respond to your inquiries and send relevant product updates to beta participants. Legal basis: consent. You may withdraw consent at any time by emailing privacy@ugnaian.com.
- Security and fraud prevention — server logs are retained to protect the integrity of our systems. Legal basis: legitimate interests.
4. How we store and protect your data
Application emails and related correspondence are stored in access-controlled business communication systems. We apply administrative, technical, and physical safeguards appropriate to the sensitivity of the data, consistent with our obligations under RA 10173. We do not sell, rent, or share your personal data with third parties for marketing purposes.
5. Retention
We retain application data for the duration of the beta program and for a reasonable period thereafter, not to exceed three (3) years from collection, unless a longer retention period is required by law or you request earlier deletion.
6. Your rights as a data subject
Under RA 10173, you have the right to:
- Be informed — to know how your data is being processed (this notice fulfills that obligation)
- Access — to request a copy of the personal data we hold about you
- Rectification — to correct inaccurate or incomplete data
- Erasure — to request deletion of your data, subject to legal retention obligations
- Object — to object to processing based on legitimate interests
- Lodge a complaint — to file a complaint with the National Privacy Commission (NPC) if you believe your rights have been violated

7. Cookies
This site does not set cookies. No session, analytics, or advertising cookies are used.
8. Third-party services
This site loads fonts from Google Fonts (fonts.googleapis.com), which may log your IP address as part of the font delivery request. Refer to Google's privacy policy for details. No other third-party scripts or services are loaded.
9. Changes to this notice
We may update this notice to reflect changes in our practices or applicable law. The effective date above will be updated accordingly. Material changes will be communicated to active beta participants by email.
